Managing a shop's vehicle availability with a weekly responsibility ledger
Assign stock owners, confirm current availability, and track overdue listing actions with a weekly shop ledger that separates internal decisions from DNF status.
General guidance. No specialist review is claimed unless named on this page.
A shop managing several vehicle listings needs a named person behind every availability answer. Keep one private stock ledger that connects each vehicle to its responsible seller, current evidence, actual DNF status, and next action. Review it weekly and update affected rows when something changes between reviews.
The weekly review is a suggested working routine, not a claim about how often vehicles sell or a DNF scheduling feature. Its purpose is to expose unanswered availability questions before staff repeat an outdated answer.
Give each row an accountable owner
Assign a stock lead to maintain the ledger and a responsible seller for each vehicle. These can be different people. The responsible seller confirms whether the vehicle is still offered and who may approve changes; the stock lead checks that the resulting actions have been recorded.
Identify a condition contact who can explain recent work or findings, and the person authorized to use the relevant seller account. A staff member who sees a car in the yard should not have to guess whether it is available, awaiting a decision, or already sold.
These are internal responsibilities. They do not create DNF team accounts or delegated account permissions. Arrange coverage through the appropriate account holder without circulating login credentials. If the responsible person is absent, assign the unresolved question to someone who can obtain an answer.

This original blank worksheet assumes the business already has individual vehicle listings and its own authority records. It does not represent a real shop's stock. Use one row per vehicle; the columns below describe what to enter in that row and are not additional DNF fields.
| Private ledger column | Required entry | Who confirms it | When the entry needs attention |
|---|---|---|---|
| Vehicle reference | Internal stock reference, matching identity record, and DNF listing reference | Stock lead | A listing or document cannot be matched to the vehicle |
| Responsible seller and cover | Named decision maker, selling-authority reference, and absence contact | Business approver | Authority is unclear or the decision maker is unavailable |
| Availability confirmation | Current position, confirmation date, person, and supporting business record | Responsible seller | Only an old note or a colleague's assumption supports it |
| Condition and included items | Reference to the current description and any later changes | Condition contact | Work, parts removal, or a new finding makes the listing outdated |
| Actual DNF status | Status read from the account and date checked | Account holder | It differs from the business's current position |
| Required action | Exact update, named action owner, target date, and unresolved dependency | Responsible seller | No one owns the action or its target date has passed |
| Closure and next check | Result actually seen, completion date, and next review date | Stock lead | An action is reported complete without checking its result |
Keep the vehicle's real availability and the displayed listing status in separate columns. A cell saying “buyer arranged” is not enough to decide whether DNF should show on hold, sale pending, or sold.
Run the weekly review from evidence
Start with the business's current vehicle records, then compare every in-scope row with the seller account. Include held and expired listings as well as those currently on sale. Carry unresolved rows forward with a named owner rather than silently deleting them from the review.
For each vehicle, ask the responsible seller whether it is still offered, whether the included items have changed, and whether a buyer arrangement has progressed. Ask the condition contact about new findings or work since the last description. Record who answered and when.
How DNF works distinguishes offer acceptance from a completed sale: acceptance sets sale pending and declines other open offers. Contact details follow once any required platform fees on both sides are paid. The parties arrange payment, paperwork, and pickup themselves. A contact-release email therefore cannot close the shop's completed-sale record.
Resolve mismatches through the right action owner
If current availability cannot be established, escalate to the responsible seller. Where they authorize a temporary stop and the control is available, the account holder can put the listing on hold. That stops new offers and new question threads while retaining an on-hold page.
For a completed sale, record the actual outcome before marking the listing sold. From the listings dashboard, answer who bought it accurately, using Someone else for a completed sale outside the DNF offer relationship. That choice is also available for a sale-pending listing; it does not resolve disputed commitments. Use the deal-fell-through workflow only for an accepted deal that actually ended without a sale; do not use it as a general stock-management shortcut.
DNF's help page describes expiration and relisting. An expired advertisement does not establish that the vehicle left stock. Before renewing or putting it back up, obtain a current availability answer and check whether its description needs correction.
Seller edits are available for published, on-hold, and expired listings, but sale-pending and sold listings have restrictions. Changes to certain damage and condition answers can return a listing to moderation. Record that resulting status as an open dependency; an internal target date does not establish a moderation completion date.
Act between reviews and close the handoff
Do not wait for the next weekly meeting after a sale, a changed selling instruction, or a new condition finding. Have the person receiving the change notify the ledger owner internally, identify the affected vehicle, and obtain the required seller decision. The account holder then makes the individual listing update and records its result.
DNF email alerts serve particular events and recipients; they are not an internal staff assignment system. Give every unresolved action a named owner in the shop's own records. Where a buyer has agreed to follow-up, assign any necessary manual update through an available existing conversation or permissioned contact channel.
Keep private records separate from public copy. DNF's trust guidance says uploaded documents remain private and listing statements come from the seller. Uploading the ledger would not communicate its instructions to buyers. Browse the vehicle inventory for the listing layout, then finish each weekly review with explicit owners for every unresolved row.
Questions and answers
Does an expired DNF listing mean the vehicle has left stock?
Expiration does not establish that the vehicle left stock. Obtain a current availability answer and check whether the description needs correction before renewing or relisting it.
Can a contact-release email close the shop's completed-sale record?
Offer acceptance sets sale pending. Contact details follow once any required platform fees on both sides are paid; vehicle payment, paperwork and pickup stay with the parties. Record the actual completed outcome separately before closing the sale record.
Should staff wait for the weekly review after parts are removed?
Update the affected ledger row when the change occurs. Notify the ledger owner, obtain the responsible seller's decision and have the account holder make the listing update and record its result.
