Selling a damaged business vehicle: document who can authorise sale

Prepare a vehicle-specific business approval record that connects the recorded owner, delegated sale decisions, transfer signatures and physical asset release.

Before advertising a damaged business vehicle, connect the vehicle's recorded owner to the people allowed to approve its sale, sign its transfer and release it for collection. An employee's access to the vehicle or a listing account does not establish the scope of those decisions.

Use the blank approval record below for a specific asset. The published collision-shop permission guide addresses sorting shop-owned and customer vehicles. This article addresses the business owner's internal approval chain and the documents used at transfer.

Match the asset to the recorded owner

Start with the vehicle document and the business's asset record. Record the entity name, vehicle reference and any difference between the trading name, account name and recorded owner. Resolve a mismatch before preparing documents in a convenient but unsupported name.

Ask the person responsible for the asset about finance, leasing, insurer control or any disputed instruction. For an unusual situation such as a dissolved business or an external administrator, obtain the applicable authority route before offering the vehicle. This checklist does not appoint a representative or determine corporate powers.

Separate a signature format from authority to use it

In California, DMV's REG 227 calls for the printed business name and an authorized representative's countersignature in the business ownership-release section. That describes the form's signing format; it does not confer authority on whoever completes it. Have the business establish the representative's authority and ask DMV which transfer documents fit the transaction.

For Quebec, SAAQ's business-vehicle page says that if none of the business's directors can attend the service outlet, the person registering the vehicle must present the original document authorizing them to act for the business. Its document section also identifies official photo identification and the sales contract. This is a Quebec administrative example, not a universal corporate authorization form.

Prepare a vehicle-specific business approval record

This is a blank internal record, not a board resolution, power of attorney or government transfer form. The business or its adviser must determine which underlying authority documents are appropriate.

  • Asset: vehicle reference, recorded entity name and private location of ownership evidence.
  • Basis for approval: underlying delegation or approval record, its issuer, date and scope; identify restrictions rather than assuming authority from a job title.
  • Transaction permitted: sale in present condition, included loose assets, excluded equipment and any condition attached to proceeding.
  • Responsible representative: who acts, in what capacity and under which evidence reference.
  • Open conditions: lender or lessor response, insurer instruction, missing transfer record or conflicting direction.
  • Validity and changes: any expiry, withdrawal or further-approval condition stated in the underlying authority.

Keep company identifiers, signatures and internal financial records private. Use record references in the working checklist rather than copying the entire approval file into a public description.

Assign each decision before offers arrive

DecisionNamed person and evidence of scopePoint requiring another approval
Publish or change condition descriptionFill inMaterial new information or a disputed statement
Agree price and included assetsFill inOffer outside the actual delegated terms
Sign ownership-transfer documentsFill inRequired signer unavailable or authority scope unresolved
Confirm payment conditions for releaseFill inConditions not established by the responsible finance person
Release vehicle, keys and equipmentFill inCollector or included load differs from the approved arrangement

Different people may fill these roles. Do not let a broad “approved for disposal” note silently substitute for the specific decisions the transaction requires. If the underlying approval does cover several roles, reference its actual scope.

Close the asset record with the actual handover

Retain the approved description, accepted included-items list, applicable transfer documents and collection record together. Record the date, recipient and any items left behind. Ask the business's accountant how to handle accounting and tax records; no tax treatment follows from this checklist.

Use the published shop listing-batch guide for preparing multiple listings after each vehicle's authority is established. Browse current vehicles for listing context. A completed internal checklist does not establish mechanical condition or complete a government transfer.

For an inherited vehicle, establish the estate's authority before advertising it.

Questions and answers

Does permission to advertise a company car include signing its transfer?

Do not assume it does. Record authority to publish, accept an offer, sign transfer documents and release the vehicle separately, with evidence of each person's scope.

What does California's REG 227 say about a business signature?

The form calls for the company or business name and an authorized representative's countersignature. That format does not establish that a particular employee has authority.

What if no director can attend a Quebec registration appointment?

SAAQ says the person registering the vehicle must present the original document authorizing them to act for the business. Confirm the applicable transaction requirements before arranging attendance.
