Collision shops selling vehicles: ownership and permission checklist
Separate shop-owned stock from customer and insurer vehicles before listing. Use an authority-evidence worksheet without assuming possession means permission to sell.
General guidance. No specialist review is claimed unless named on this page.
Before a collision shop lists a vehicle, establish who owns it and who can authorize the sale. A car being on your premises, awaiting collection or connected to an unpaid bill does not by itself establish that authority. DNF requires sellers to own the vehicle or have authority to sell it. Keep unresolved vehicles out of your listing batch while the responsible parties establish the position.
Which vehicles can your shop put into a listing batch?
Start with the actual ownership and authorization records, not the row's location on the yard plan. Separate stock your business owns from customer vehicles, insurer-controlled stock and any vehicle with disputed authority.
This worksheet applies DNF's ownership-or-authority requirement to a manual preparation process. It is not a guide to selling under a repairer's lien, disposing of abandoned vehicles or replacing an owner's permission. Those questions require the applicable local process and appropriate advice.
| Situation | Evidence question | Preparation decision |
|---|---|---|
| Vehicle recorded as business-owned stock | Which records connect this exact vehicle to the business, and who may approve its sale? | Prepare only when authority and the remaining transfer questions are established |
| Customer asks the shop to help sell | What does the authorization permit, and who agrees the description, price and terms? | Resolve scope before publishing; do not infer unlimited permission |
| Insurance claim or ownership change in progress | Who currently controls the sale, and which party must confirm it? | Hold while the answer or supporting records remain unresolved |
| Storage or repair bill is disputed | Is there a completed applicable process establishing sale authority? | Do not treat the bill as a substitute for that process |
| Inconsistent records or competing instructions | Which party can resolve the conflict? | Hold the row and record the unresolved question |
This table does not determine legal ownership. It helps staff identify which evidence and decisions are still missing.

Vehicles for sale (1)What should an authorization record cover?
Identify the specific vehicle, the person or entity giving instructions and the basis on which that party acts. Establish what the shop is permitted to do: prepare photographs, advertise, discuss an offer, approve a price or arrange a handover may be separate decisions.
Record the scope, date, expiry or withdrawal conditions and the person responsible for confirming changes. Do not assume permission to repair includes permission to sell, or that approval to photograph a car includes permission to publish customer paperwork.
Keep the original record privately. Use a staff reference in the preparation worksheet rather than copying identity documents, signatures or customer contact details into the advert. If authority is unclear, ask the party responsible for establishing it before creating a public listing.
How do you turn the evidence into a staff checklist?
Give each vehicle one internal reference and one accountable listing owner. Keep authorization checks separate from condition checks: evidence about who can sell a car does not establish the quality of its repair or its present mechanical condition.
| Private worksheet field | What staff record |
|---|---|
| Vehicle reference | Internal stock reference linked to the correct vehicle record |
| Ownership or authority evidence | Private location of the supporting record and any unresolved question |
| Approval scope | Who approves the description, asking price, offers and changes |
| Photo and document permission | Which material may be used publicly and which must stay private |
| Description approval | Date and person who checked the known facts and unknowns |
| Availability check | Who confirmed the vehicle can still be offered, and when |
| Hold or release decision | Reason for a hold, or the recorded decision to proceed |
These are suggested staff fields, not existing DNF team-account or inventory-import features. They can live in your own private preparation sheet.
What does DNF check for the shop?
DNF's trust explanation distinguishes seller-provided information from independent checks. Do not describe an account, completed listing or uploaded document as proof that DNF has checked ownership, sale authority or the condition of the car.
Documents uploaded to DNF remain private. That is not a reason to upload every document the shop holds. Share only appropriate material you are entitled to use, and keep unrelated customer information out of listing photographs and descriptions.
If staff discover a change in authority, pause the sale preparation and resolve it. Do not rely on an earlier worksheet entry after receiving conflicting instructions.
What happens when a buyer makes an offer?
Use the approval scope established for that vehicle. A member of staff able to answer a condition question may not be the person authorized to accept an offer. Escalate the decision to the recorded owner rather than improvising permissions in a message thread.
An accepted DNF offer moves the parties toward their arrangements. Contact details are released once any required platform fees on both sides are paid. This does not mean DNF has taken the vehicle payment, performed the transfer or completed the sale. Keep those steps and their supporting records separate.
Once authority, description and availability are established, prepare the vehicle listing. Browse vehicles to see the information buyers can compare, and use the appropriate Canadian or US guides for local administrative questions. A complete advert supports the conversation; it does not replace the sale-authority evidence.
Questions and answers
Can the shop list a customer vehicle because it is awaiting collection?
A vehicle being on the premises or awaiting collection does not establish authority to sell. Resolve ownership and authorization before including it in the listing batch.
What must the shop record before accepting an offer for a customer vehicle?
Record who may approve the price and accept offers for that specific vehicle. Escalate the offer to that person; permission to prepare photos or answer condition questions does not establish sale approval.
Should the shop put sale-authorization records in the public listing?
Keep the original authorization privately and use an internal reference in the preparation sheet. Do not copy identity documents, signatures or customer contact details into the advertisement.
