Used, new OEM or aftermarket parts: build a quote comparison
Compare parts quotes by origin, condition, included items and installed scope. Use a blank matrix that separates cash due, conditional credits and unresolved choices.
General guidance. No specialist review is claimed unless named on this page.
Compare parts quotes only after establishing what each item is, its condition, what comes with it and the provider's proposed work. Used, new OEM and aftermarket labels alone cannot tell you the cash needed to complete the same scope.
This is a blank quote-comparison model. It contains no supplier prices, tested parts or approved substitutions. Use the existing parts-fit evidence sheet for application questions; use this page to compare the resulting offers and commitments.
Separate origin from condition
Use two fields rather than one category label:
- Origin: the vehicle manufacturer's replacement-parts channel, an identified independent manufacturer, or unresolved origin.
- Condition: new, used, remanufactured or another condition stated explicitly by the supplier.
For this worksheet, new OEM means a new part offered through the vehicle manufacturer's parts channel; aftermarket means a part offered under an independent manufacturer's identity. Record the actual brand and complete number rather than relying on those shorthand terms.
The FTC distinguishes new, remanufactured or reconditioned, and salvage parts. Its salvage category concerns previously used parts, while remanufactured parts form a separate category. Those consumer terms do not establish an individual part's origin, condition or application.
A used item can have unresolved origin. A factory-branded box does not answer whether the particular offered item matches its description. Preserve the supplier's written description and ask about inconsistencies before treating the quote as usable.

Vehicles for sale (1)Ask the repair provider to define the comparison
Have a qualified provider identify the applicable vehicle-specific OEM procedure and explain whether each proposed option can be used within that scope. Request the relevant document reference and any limitations. Do not turn supplier availability into a technical conclusion.
For an Alberta project, the province's inspection guidance and process direct the owner to discuss the intended repair method with the intended inspection facility. That is an Alberta planning step, not a worldwide parts-acceptance rule. Establish the applicable process for your own location separately.
Keep a technically unresolved option outside the completed cost ranking. If the provider rejects an option, record the reason rather than assigning it an attractive total and carrying it forward anyway.
Complete one matrix for the same component
Copy this original matrix for each decision-critical component. The columns are offers to investigate, not a ranking of quality. Write unknown where no answer exists.
| Quote field | Used offer | New OEM offer | Aftermarket offer |
|---|---|---|---|
| Supplier, quote date and expiry | ______ | ______ | ______ |
| Actual manufacturer, full number and stated condition | ______ | ______ | ______ |
| Application evidence and provider response | ______ | ______ | ______ |
| Assembly contents and explicitly missing items | ______ | ______ | ______ |
| Condition description and disclosed damage or wear | ______ | ______ | ______ |
| Availability and delivery commitment | ______ | ______ | ______ |
| Cash due for the item, delivery and applicable charges | ______ | ______ | ______ |
| Deposit and conditions for any later credit | ______ | ______ | ______ |
| Return deadline, exclusions and who arranges return | ______ | ______ | ______ |
| Written warranty scope and claim process | ______ | ______ | ______ |
| Provider's work quote and separately excluded items | ______ | ______ | ______ |
If one offer includes an assembly and another only its main component, ask for comparable packages or leave the missing items unresolved. Do not invent an allowance to make the columns appear complete.
Compare cash due and completed-scope cost separately
First total the cash needed to obtain the proposed package, including deposits and any applicable delivery or acquisition charges. List potential refunds separately with the conditions and timing attached. An expected credit cannot pay an earlier invoice.
Then calculate:
comparison cost = nonrefundable parts acquisition + provider work + separately excluded costs
Use that formula only after identifying what each quote already includes. If the shop's total includes the part, do not add the supplier price again. Record deposit recovery separately until its conditions have been resolved.
The FTC advises obtaining repair warranty terms in writing. Ask specifically whether the quoted terms cover only the item or also removal, replacement labor and associated work. Do not supply assumed coverage for a blank answer.
Choose the supported package
Record the preferred package, the provider's response, the quote version and the open questions. Reopen the comparison if the condition, included items or work scope changes. Keep any anticipated delay visible in the project budget without inventing a default delay cost.
The repair-estimate article covers scope omissions beyond the parts purchase. Compare vehicle listings using the complete parts package your decision depends on.
For an incomplete vehicle, start with the missing-parts ledger so each quote covers the same unresolved scope.
Questions and answers
Is used OEM the same quote category as new OEM?
No. Origin and condition are separate fields. Record who made or supplied the part and whether it is new, used or remanufactured; an OEM description alone leaves condition unanswered.
Can I deduct a refundable deposit from the cash needed to obtain a part?
Keep the deposit in cash due until its return conditions are met. Record the possible credit separately with its deadline, required condition and return responsibility.
What makes a lower parts quote a meaningful comparison?
The quote needs the same intended component, a documented application, stated included items and the provider's accepted work scope. Unresolved fit, condition or installation questions prevent a complete comparison.
